What Should Be in a Surgical Light Quotation

Eight items that decide the real price — and the four that are usually missing.

Nanchang, China — A surgical light quotation that fits on one line is not a price. Two suppliers can quote different figures for the same room because they are quoting different configurations, delivery terms and service obligations. Before you compare numbers, require the eight items below in writing.

Why one price per unit cannot be compared
Every quotation answers three questions implicitly: what is included, what is excluded, and what is deferred. Most answer them only by accident, because the buyer assumes a standard package that does not exist.

Two quotes for a "double-dome ceiling light" can differ because one includes the ceiling anchor and the commissioning visit, and the other assumes your contractor supplies both. The unit prices differ, and so do the installation costs — in opposite directions.

Send a numbered requirement list and ask for a numbered answer. A supplier who answers line by line has quoted your room; one who replies with a brochure has quoted a catalogue.

The configuration block
A model name is not a configuration. The first block of the quotation should pin the article you are buying.

Model, dome count and light source. Double dome means two heads, not a performance class. State whether both heads share the same output and LED platform, and whether battery backup is included.

Illuminance, light field and colour. Ask for peak illuminance at a stated working distance and spot diameter. The Galaxy-LED E700/700 is published across 40,000–160,000 lux at 1 m with Ra 98 and 3,500–5,500 K. Naming the model without the figure you are buying quotes a range, not a product.

Mounting and accessories. Ceiling, wall, mobile or rail. For ceiling units, ask who supplies the anchor, what ceiling height the suspension assumes, and whether a structural survey is included. Sterilisable handles, spare handle sets, arm brake, camera and battery are the most frequently omitted line — and the most frequently invoiced later.

The commercial basis of the price
A price without a delivery term is a number without a location. EXW, FOB, CIF and DDP allocate freight, insurance, customs and duty differently; two quotations fifteen per cent apart can be identical once both are converted to DDP at your port.

Ask for the quantity bands — one unit, five, twenty, a container — the currency and rate basis, the validity period and the payment terms. A quotation valid for thirty days and one valid for six months carry different risk, and in a tender that risk lands on the buyer.

Lead time, split into three dates
"Thirty days" means three things depending on where the clock starts and stops: production, testing and release, and freight transit. Ask for each date separately.

Ask what triggers the clock — order confirmation, deposit receipt, or artwork approval on OEM work. For a project with a fixed opening date, ask for the shipping date instead of the lead time. A shipment that leaves on time but arrives after the theatre opens is a late delivery.

Spare parts and consumables
The spare-parts list is where a low quotation becomes an expensive five-year purchase. Ask for it itemised, with unit prices.

On a ceiling light the parts that fail are the LED module, the driver or control board, the arm brake and the sterilisable handles. On a mobile unit such as the JD1800L, add the battery pack and the castors. Where a table is part of the room — an ET500T, for example — add the hand controller and the electric actuator, and ask whether the tabletop travel needed for C-arm work is standard or optional.

Two questions decide the risk. How long after purchase will those parts remain available, and are they common across the models you are buying? A distributor stocking four models wants to hold one battery, not four.

Warranty, service and the documents that come with them
A warranty is a period plus a boundary. Ask what it covers, what voids it, who performs the work, and whether service is on-site or return-to-factory. A two-year warranty that requires the hospital to crate and ship a lamp head is worth less than one year with a service visit.

The documents should arrive with the price, because the importer and the hospital's biomedical department ask for them at the same moment: the type-test report to IEC 60601-2-41:2021, the Declaration of Conformity under EU MDR 2017/745 where CE marking is claimed, the ISO 13485:2016 certificate with its scope stated, and the packing list with carton dimensions and gross weights.

Be precise about regulatory status. An FDA establishment registration registers the manufacturing facility; it is not a clearance or an approval of any individual device. A quotation that describes it otherwise is a signal to check the rest of the document.

How to compare two quotations without reading them twice
Normalise both to one figure: landed cost for one room over five years. That is the unit price, plus freight and duty, plus installation and commissioning, plus the spare-parts kit, plus expected replacements, plus service visits.

Then compare four things in the same order for each supplier: the landed cost, what is included in it, the three lead-time dates, and the spare-parts availability period. Anything that cannot be expressed as one of those four is a preference, not a comparison.

A two-room example makes the method concrete. Supplier A quotes the lower unit price and excludes the ceiling anchor and the commissioning visit; supplier B includes both. Price the two excluded items at local labour rates and the gap narrows or reverses — but only if the quotation says what was excluded.

What to send before you ask for a quotation
A one-page brief returns a quotation you can use: the room list with ceiling height, the procedure mix, whether C-arm imaging is required, the number of units, the destination port, the target installation date and any tender deadline.

Add the documents the project needs and the language of the tender. If a named standard reference or a local registration is required, say so at the start; discovering it after the quotation means a second round.

FAQ
Q: What is the minimum a surgical light quotation should contain? A: The configuration block, the delivery term and Incoterm, the quantity band, the currency and validity, three lead-time dates, an itemised spare-parts list, the warranty terms and the document list. Anything less cannot be compared with a second supplier.

Q: Should installation be included or quoted separately? A: Either works provided it is stated. Separating installation makes the equipment price comparable; including it makes the total comparable. The error is leaving it unstated and assuming it is included.

Q: What changes when a quotation is DDP? A: The supplier takes on freight, insurance, customs clearance and duty to your address. Compare a DDP figure with another DDP figure; comparing DDP with FOB flatters whichever quotation you read first.

Q: How long should spare parts be available after purchase? A: Ask for a stated period in writing and for the unit price of the parts that fail most — LED module, driver board, battery, handles, castors. A period without prices is a promise, not a plan.

Q: Can we request a demonstration unit before ordering? A: Yes, and on a first order it is reasonable to ask. Ask what the demonstration unit is, whether it is a production unit, who pays freight both ways, and whether the demonstration period counts against the lead time.
